Office Coordinator

Maponics LLC improves search and discovery by serving the spatial data needs of real estate companies, direct marketers, and SoLoMo (Social, Local, and Mobile) companies.   We work behind the scenes for many of the biggest brands in the world.

The Office Coordinator will support several departments within Maponics to ensure all administrative tasks are carried out in a timely and professional manner. This position will report to the Controller

The person in this role will be creative, a problem solver and enjoy working within a small entrepreneurial environment that is results-driven and staff oriented.

Responsibilities:

Office Administration

  • Reception
    • Manages all calls coming into Maponics
    • Greets guests and notifies the party with whom they are meeting
    • Daily mail and package distribution
  • Meeting coordination including the following
    • Manages company GoToMeeting and other meeting accounts
    • Begins and ends AV portion of any meeting requested assistance for
    • Manages recordings of meetings to ensure they are available and posted
    • Setup and manage all aspects of In House training
  • Facilitates the following meetings:
    • Friday afternoon Strategy meeting
    • Monthly Staff Meeting
    • Quarterly Department Presentations
    • where requested by meeting organizer
  • Purchasing and stocking of:
    • Office supplies, snacks and coffee, and cleaning supplies
  • Completes expense reports for Executives
  • Composes and prepares correspondence that is sometimes confidential
  • Obtain order approval for DLA’s and NDA’s via DocuSign

Finance

  • Data entry for a variety of accounting functions
  • Bank deposits
  • Filing/scanning as needed

HR

  • Maintains scanning and filing
  • Creates individual performance reviews, 90 day reviews and score cards as requested
  • Maintain Company Calendar
  • Assist in planning of Office parties

Compensation Structure:

This is a part time position hourly position not eligible for Maponics benefits other than those required by law.
